eBay Stymies Tracking on Multi-Order Shipments

Dear Ina,
eBay has just started a new process that is seriously impacting my bottom line and adding to theirs. It's a glitch but they say it's not. 

I sell china and I often sell more than one piece from more than one listing, i.e. plates and bowls in different listings but in the same pattern. However, I ship all pieces together in one shipment. 

I used to be able to add the tracking # to the additional purchases (I could do this last month) but this month, eBay is not allowing me to add a tracking # to a multi-order purchase where either: 1) the customer has used a guest account and has paid in two separate transactions or 2) the customer has used the same PayPal account to pay for the two separate transactions. 

I have 2 out of 13 sales this month where this has happened and it will seriously impact my TRS discounts and, ultimately, my Top Rated Status. Here is how this glitch in the tracking system will impact me: 

1) Any purchase I ship with another purchase that has been paid for in a separate transaction will not count in the TRS discount. This is a big problem because, for some reason or other, most people are paying in separate transactions when they used to pay in one payment until eBay made changes in the shopping cart system. 

2) Any purchase not having a tracking # (but was shipped along with another purchase by the same seller and actually purchased probably within minutes of the first purchase or at least the same day) is counted as not sent with tracking and counted as a defect in my TRS tracking. 

3) I will no longer have top rated seller status after eBay decides I didn't meet their minimum shipping time requirements. It will take a while but it will eventually happen, especially since I am already seeing almost 20% of my 13 orders from September 1 to September 9 as not shipped on time. 

I spoke with 2 different customer reps on eBay and both told me this is NOT a defect and orders paid separately and shipped together can only be counted on one of the purchases and the others will all be counted as defective. Their suggestion was to try to avoid a defect. 

In my opinion, there is no defect as long as I ship the purchases within one day and it arrives in the required time frame. This is a new eBay glitch and they don't want to address it because it is more money on their bottom line and less on my bottom line. The only way I can avoid this "defect" is to ship each purchase separately and incur much higher shipping fees since shipping fees are much less incrementally.

I run into this same scenario all the time. People pay for their items separately, and when you print a label, only one of the products will have a tracking number. The way to avoid a defect is bring up each item on ebay and manually add the tracking number. It is time consuming, but necessary.

Several months back I made a comment about eBay's mobile calculated shipping not working. I am not sure if this is part of the problem. At the time, eBay was only displaying fixed shipping and free shipping. Buyers had to contact the seller to get the calculated cost. Seems to me, eBay doesn't know how to apply multi-orders with calculated shipping in mobile. So sellers are given the runaround and only persistent calling sellers may receive some sort of reinbursement until and if eBay fixes this.

DTSM's advice is solid.  Ebay has NEVER auto filled in a tracking number on a multi listing shipment IF all the payments are separate.  Ebay ties the transactions together by PAYMENT, nothing else.  So when you have multiple payments and you ship all the items in the same package, then you need to manually enter the tracking number on all the other transactions except the one you shipped from.

Not to long ago I did read something on this site about a similar problem.  One that didn't allow the same tracking number to be used across multiple transactions with the same buyer.  On that point I can't offer much because I've had never had that happen.  I've always been able to enter the tracking number on Ebay.

If this is what is happening to the OP, then maybe a work around is not trying to enter the tracking number in Ebay, but to do it through PayPal.  Paypal does update Ebay, so maybe that can work.  I know it is a little extra effort, but that is better than losing discounts and status.  I hope it works for the OP and that the OP will let us know if it works for them.

As stated before the only way to do it is my manually entering the tracking number. There have been times when eBay would not work because some IT idiot did a change on the code. When ever this has happened when I had 2 or more different sales according to eBay I gave up doing it on eBay and either use the listing tool I use or go to PayPal. eBay can be a headache at times since the code is very immature and outdated and when their IT idiots try to fix something they end up messing something else up. It can be very easy to figure out what to do by not expecting something complicated and just go the simple way. Unfortunately all that does is add time to your already stretched allotment. I tell people in my listings and in the emails that are sent from eBay if they expect a discount on the shipping cost when buying multiple items to wait for our invoice before they pay.

I've run into this issue as well when trying to manually add tracking numbers on multiple purchase - multiple payment transactions. I get them frequently in my business.

Transactions that post from my 3rd party, cross platform, inventory control software that prints shipping labels with postage then uploads tracking in bulk so far seems to have had no issue. Those numbers have posted properly to all orders on eBay. I spot check every few days.

The issue only occurred for me on those I posted manually. eBay would ''reject'' (not post) the tracking number when I would try to save it the second time. The issue cropped up about 3 months ago or so. (I have to post some manually because I print some labels manually due to adding insurance, verifing an address manually, or using UPS, etc). Before then I think I was just taking the ''hit'' on my TRS.

Since it seemed that almost immediate uploads seemed to work, I tried the following and so far (up to a couple of days ago anyway) it's worked. I pull up separate browser screens on my computer, each with a different one of the transactions, paste in the transaction number (wait, don't enter yet), and THEN go through and sequentially Save them. I know it sounds ridiculous. But it has worked and they post without issue.

Of course, not sure how good that will be if I had 10+ items as things could get dicey. And fortunately, I work on a computer, not a mobile device.

Will keep watching though.

I have to manually add tracking on some multiple items but I use stamps.com and they all fill in if paid together. If paid separately, I manually add them.
The problem will usually come in for me when the buyer pays separately and uses 2 or more guest usernames or uses 2 accounts to pay, but you cannot combine these either nor have I had anyone doing this ask for a discount. I just ship them separately or take the hit.  This is very rare but will probably pick up during holiday season.
I have heard of sellers shipping these together by shipping a thank you letter and using that as the other tracking number.

This has never ever been a problem for me. If a buyer pays in 2 separate transactions, you can still combine them into a single transaction when you print the shipping label on Ebay. Problem solved.

I have noticed exact same thing lately with buyers paying for multiple auctions wins all ending same time but now receiving multiple payments. However, I was able to add the tracking number to the other item's eBay page.

We use Endicia and their system automatically enters the shipping number into all the purchases made by the same Buyer.
In cases where the Buyer didn't wait for a combined shipping invoice, we are able to combine them through Dazzle, the Endicia shipping tool, when we print the label.
In cases where they HAVE to be entered into the eBay site manually, we have never had a problem getting that done.

I agree with Bethofvt. Assuming the buyer used the same username and same paypal account, but purchased multiple items individually, I can still easily combine the shipments when printing the label on ebay. Ebay's system even tells me, "you have orders that can be combined". The tracking number then shows up on all of the individual items.

Now, if a buyer uses a different username or paypal account to purchase multiple items, THEN the only option is to ship the items separately. And, the few times that's happened, I've honestly never had a buyer ask me to combine the shipments.

I think you may have misunderstood the problem.  One to 40 [max allowed on an Ebay invoice] transactions paid on ONE payment transaction will allow you to print one shipping label and the tracking number will auto load on ALL of the transactions.  This is NOT the issue.  You are correct, this is fine all the time.

The problem comes in when a buyer makes SEPARATE payments for their multi transaction purchase, if the seller is indeed going to ship the items together.  Yes you can select any one of the transactions they purchased and paid for and go on to print the label from there, however it will NOT upload tracking to ALL the transactions.  That is due to the multiple payments.  Ebay has NEVER auto uploaded tracking on multi transactions with multi payments.  You need to do it manually.

That is how it has ALWAYS worked.  If a buyer pays in multiple payments, you can't get the tracking number to auto load onto each transaction with separate payments.  It only auto loads for the transactions represented by the payment in which you selected to print the shipping label from on Ebay.  Any other payment or transactions you included in the package you have always had to manually upload tracking if they were shipped in with the others.

Other shipping sites may handle this differently.  But Ebay goes by payments.  So if you cross payments in a single package, you will have to manually upload the tracking.  This is not new, nor has it recently changed.

I don't know if we're talking at cross-purposes here, but like Bethofvt, I DO have buyers who sometimes purchase multiple items from me and checkout and pay for each SEPARATELY. Yet, I can STILL combine those orders by using the ebay bulk shipping feature. I get one shipping label and ALL of the items have the tracking number added.

The workaround for this is to add the tracking on the PayPal payment transaction, which will then upload to eBay.

There's another problem with your idea. PayPal now only updates eBay orders when there's a single item involved. Multiple-item orders must have tracking manually entered on the eBay side.
